This Privacy Policy describes how we collect, use, share, and protect information obtained through our marketing website (collectionhouse.io), our carrier back-office platform, and our debtor self-service portal.
By using any of our services, you agree to the practices described in this policy. If you do not agree, please do not use our services.
2. Information We Collect
2.1 Website Visitors
When you visit our marketing website, we may collect:
- Contact information you submit through our demo request or contact forms (name, company, email address, phone number)
- Information about your company and industry segment for lead qualification purposes
- Technical data: IP address, browser type, pages visited, and time spent — collected through server logs and first-party analytics
We do not use third-party advertising tracking pixels. We do not sell visitor information to third parties.
2.2 Carrier Clients
Carrier organizations and their authorized users who access the Collection House platform provide us with:
- Account credentials and identity information for platform access
- Receivables data: debtor names, contact information, account balances, and related financial records that carriers upload for collection processing
- Business configuration and settings for their tenant instance
- Communications and support tickets submitted through the platform
Receivables data uploaded by carriers is processed by Collection House as a service provider acting on the carrier's instructions. Carriers retain ownership of this data and are responsible for ensuring they have the legal right to share it with us for collection purposes.
2.3 Consumers (Debtors)
When consumers interact with the Collection House debtor self-service portal, we collect:
- Identity and contact information provided at account creation or enriched from carrier-supplied records
- Payment information (processed through our payment processor; full card numbers are never stored on Collection House systems)
- Dispute reasons and supporting documentation submitted through the portal
- Communication preferences and opt-out requests
3. How We Use Information
We use the information we collect to:
- Operate and improve the Collection House platform
- Process and manage debt collection activities on behalf of carrier clients
- Communicate with carriers, consumers, and website visitors about accounts, services, and support
- Comply with legal obligations including FDCPA, CFPB Regulation F, state debt collection laws, and applicable data protection requirements
- Detect and prevent fraud, system abuse, and unauthorized access
- Respond to inquiries submitted through the website contact form
We do not use consumer debt data for advertising, profiling, or purposes unrelated to the collection services requested by carriers.
4. Information Sharing
We share information only in the following circumstances:
- With carrier clients: Account status, payment history, dispute outcomes, and other collection activity is reported back to the carrier that placed the account.
- With service providers: We engage third-party vendors for payment processing, email and SMS delivery, address enrichment, and infrastructure. These vendors are contractually restricted from using the information for any purpose other than providing services to us.
- As required by law: We may disclose information in response to a valid subpoena, court order, or regulatory demand, or as required to comply with applicable law.
- In a business transfer: If Collection House is acquired or merges with another entity, information may be transferred as part of that transaction, subject to the same privacy commitments.
We do not sell personal information to data brokers or third-party marketers.
5. Data Security
We implement technical and organizational measures designed to protect information from unauthorized access, disclosure, alteration, and destruction. These measures include encryption in transit and at rest, row-level tenant data isolation, role-based access controls, and a tamper-evident audit trail for all collection activity.

6. Data Retention
We retain personal information for as long as necessary to provide services and fulfill the purposes described in this policy, and as required by applicable law. For collection accounts, we generally retain records for seven years from the date of last activity, consistent with applicable statutes of limitations and FDCPA record-keeping practices. Carrier clients may request deletion of their data consistent with our service agreement and applicable legal requirements.
7. Consumer Rights
Consumers whose debt accounts are managed through the Collection House platform have rights under applicable federal and state law, including:
- Right to validation: The right to request verification of a debt within 30 days of the initial collection notice.
- Right to cease communication: The right to request that we stop contacting you about a specific debt (note: this does not eliminate the underlying obligation).
- Rights under applicable state law: Depending on your state, you may have additional rights regarding access to, correction of, or deletion of your personal information.

8. California Residents
California residents may have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know what personal information we have collected about you, the right to delete personal information, and the right to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined under California law.
